Cancellation & Deposit Policy

Version v1-2026-09-10 · Drafted for attorney review — probe stage. Rivlo is an early-stage project run by an individual operator in Bend, Oregon; these documents will be re-issued under the operating entity when it is formed. Questions: hello@rivlorents.com

The gist: Cancel two days out and it's free. Deposits are held, not spent — photos at both handoffs decide everything, and a human mediates. This policy is part of the Terms of Service.

Cancellation

SituationWhat happens
Renter cancels 48+ hours before the first dayFull refund.
Renter cancels inside 48 hours50% of the rental refunded; deposit fully released.
Renter no-showsNo refund; deposit released.
Renter cancels after pickupNo refund; deposit released after the return checklist.
Owner cancels — any time, any reasonRenter refunded 100%. The owner gets a strike; repeat strikes mean delisting.
Owner no-shows or the gear isn't readyTreated as an owner cancellation: renter refunded 100%, owner gets a strike.
Weather or river conditions make the trip unsafeOwner-discretion full refund. Gear you can't safely use is a rental nobody wants.

Refunds go back to the card that paid. Cancel from the booking page; timing is measured from when Rivlo receives the cancellation.

Deposits

Every listing shows its refundable deposit, set by the owner. For rentals of five days or fewer we place a hold on your card the day before pickup — nothing is charged unless a claim is upheld. The hold releases when the owner confirms a clean return at the return checklist (banks typically show it dropping off within a few business days); an owner who flags a problem there keeps the hold in place and has 72 hours to file the claim details. For longer rentals the deposit is charged and then refunded after return — card holds expire after about seven days, so this is the honest mechanics, not a money grab.

An owner has 72 hours after the return to open a deposit claim. The renter gets a copy and 72 hours to respond. Claims opened after that window are released to the renter unless the owner shows good cause.

Damage

Pickup photos versus return photos decide what changed. The operator compares them, talks to both sides, and captures only the evidenced amount from the deposit. Damage beyond the deposit is owed by the renter under the Rental Agreement, up to the replacement value shown on the listing. Lost or stolen gear is charged at that replacement value. Normal wear from normal use is not damage; unduly dirty gear can cost the reasonable price of cleaning it.

Late returns

Tell the owner the moment you know you'll be late — the booking's message thread is the place. The daily rate keeps running while the gear is out. Gear more than 48 hours overdue with no contact may be treated as lost. Chronic lateness gets renters removed.
